The context of the role:

The role is situated in our friendly High Wycombe office.  Across the multiple offices we use different Contract Maintenance systems, but we are in the process of merging all financial information into Xero, as the unilateral Accounting software for the UK.  Currently, we have a small finance team including Lucy Wall, finance manager, and Cheryl, office manager, who provides finance support. We outsource our book-keeping and month end reporting to Wilson Partners who we work very closely with.  It is our goal to grow the in-house finance team and commence a transition. The aim of this will be to reduce the number of outsourced tasks currently undertaken by Wilson Partners. Initially, shadow-training will be used in this appointment.  This will enable you to get an overview of how things work and where the information comes from through our different offices. If you are unfamiliar with any of the software systems in which we use, we will support your development and provide to ensure practical and effective use of the tools to hand. 

About the role:

With the Finance department currently being small and busy, the assistance and support required would vary greatly and give an expansive understanding of multiple avenues and aspects of financial duties, principles and areas.  This is without question a role that will suit someone with an avid interest in finance and the multiple ways in which different products and offices require full synchronisation when dealing with the revenue and costs.  With the rapid expansion of Asolvi in the UK; we are not quite there yet with a horizontal and consistent process in all avenues across all products/offices.  Therefore, the person coming into the role would not only be assisting in the day to day maintenance and upkeep of the financials but, will also be providing support and ideas on the processes being set up to ensure a well-functioning and productive Finance Department in the future.

Need to know: 

This a full-time role and is set at 37.5 hours per week.  However, for the right candidate, we will consider reduced hours, but with our exciting development and expansion, this role is expected to also expand and grow.

What you will be doing:

-Age receivable support including credit control
-Reviewing and approving expenses 
 -Coordinating with the accounting firm on daily communications and requests for clarification/information
-Monitoring accounts payable
-Customer and Supplier ledger reconciliations and overview
-Tracking employee budgets (training and social) 
-Support with VAT returns and EC Sales Listing 
-Assistance with bank reconciliations and account reconciliations 
-Provide assistance to finance manager and accounting firm with information required for month-end report preparation 
-Ad-hoc daily finance related matters
-Handling customer enquiries, generating statements and fixing any issues
-Managing the supplier invoices with review of Overhead costs and verifying they are in line with contracts/usage
-Administration tasks for Finance department including but not limited to; setting up direct debits, supplier approvals, providing information to bank/customers/suppliers 
-Contract invoice generation and reporting
-Setting up and maintenance of service contracts

Essential qualifications, Skills and Experience - or strong evidence of a willingness to learn:

-AAT qualified (equivalent)
-Excellent interpersonal skills with the ability to communicate with people at all levels in an open and friendly manner
Ability and eagerness to self-manage tasks without requiring overview management once role is established and functionality of the department and products are understood
-Fluent English skills in reading, writing, listening and speaking with a clear accent (please do not apply if you are not 100% fluent in any of these areas) 

Desirable Skills and Experience:

-Previous experience with other software packages other than Xero would be beneficial as this would widen the scope of knowledge held when working with software programs
-Someone who takes pride in their work and aims to expand their role and duties through involvement and integrating him/herself in the team with the professional goal of synchronising the data, processes and department functionality with them being a key contributor to that end.
